Rules and Regulations

Standing Rule I

Name

The name of this organization shall be the Evening Membership Department of the GFWC Long Valley Woman’s Club.

 

Standing Rule II

Object

To promote friendliness, to further the intellectual and cultural interests of its members, and to render social service to the community

 

Standing Rule III

Membership

Section 1:  In order to be a member of the Evening Membership Department a woman must be accepted as a member of the GFWC Long Valley Woman’s Club.

 

Section 2:  To be eligible for membership a woman must not be able to attend the GFWC Long Valley Woman’s Club meeting due to family and / or business commitments.

Section 3:  To be in good standing a member must attend at least five general meetings and work two hours on fund raisers.  Exceptions may be made for extenuating circumstances.

 

Section 4:  Any member of the GFWC  Long Valley Woman’s Club wishing to join the Evening Membership shall submit a letter of her intent to the Evening Membership Department Chairman.

 

Section 5:  Any member missing two consecutive meetings without explanation will be contacted by the Vice Chairman.

 

Section 6:  Evening Membership Department dues are $40 a year.  Dues are to be paid to the treasurer by April 1st or upon admission to club.

 Standing Rule IV

Executive Committee

Section 1:  The Executive Committee shall consist of the following officers:  Chairman, Vice Chairman, Recording Secretary, Corresponding Secretary, and Financial Secretary.

Standing Rule IV

Executive Committee

Section 1:  The Executive Committee shall consist of the following officers:  Chairman, Vice Chairman, Recording Secretary, Corresponding Secretary, and Financial Secretary.

Section 2:  A majority of members present shall constitute a quorum.

 

Standing Rule V

Officers and Duties of Officers

Section 1:  The Officers of the Evening Membership Department shall be Chairman, Vice Chairman, Recording Secretary, Corresponding Secretary, and Financial Secretary.

 

Section 2:  The Officers shall be elected annually for a one year term.

 

Section 3:  The Chairman shall preside at all meetings.

 

Section 4:  The Chairman of the Department shall act as Federation Chairman for the Department.

 

Section 5:  The Vice Chairman shall assume the duties of the Chairman in her absence or at her request and shall perform such other duties as are referred to her by the Chairman.  The Vice Chairman is responsible for scheduling the programs for each meeting.

Section 6:  The Recording Secretary shall keep the minutes of the business meeting of the Department.  She shall also be a member of the Committee on Standing Rules and custodian of the records.

 

Section 7:  The Corresponding Secretary shall receive and answer all correspondence sent to the Evening Membership Department GFWC.  She will be responsible for reading the correspondence at each meeting and forwarding it to Scrapbook Chairman.  She will also head the Sunshine Committee.

 

Section 8:  The Financial Secretary shall receive and disperse all monies of the Department.  She shall keep Department funds in a bank.  She shall keep accounts of the finances of the Department and make an itemized monthly statement for the regular meetings and shall make such other reports as requested by the Chairman.  She shall present all outstanding bills by March 15th.  She shall serve as a member of the Finance Committee.

Section 9:  The election of Officers shall be held at the Annual Meeting in April and the outgoing officers serve until the new officers are installed at the May Installation Dinner

 

 

 

Stand Rule VI

Standing Committees

Section 1:  The Chairman of all standing committees, except as hereinafter stated, shall be appointed by the Chairman.

 

Section 2:  Newsletter:  The chairman of the Newsletter Committee will submit a monthly report of the Evening Membership Department to the GFWC Long Valley Woman’s Club newsletter.

 

Section 3:  Scrapbook Committee:  The Chairman of the Scrapbook Committee shall prepare a Scrapbook covering all the mementos of functions and take pictures of club activities, at the request of the Chairman during the year.  The Scrapbook will be displayed at Conventions and at the Installation Dinner.

Section 4:  Telephone Squad Committee: The Telephone Squad shall inform club members regarding club activities at the request of the Chairman.

 

Section 5:  Nomination Committee:  The Chairman shall appoint a committee of no less than three people to prepare a slate of new officers to be presented at the March meeting.

 

Section 6:  Finance Committee:  The Finance Committee shall consist of two members and the Financial Secretary who shall serve as chairman.  Any other interested Department members may serve on this committee.  The purpose of the Finance Committee is to propose allocation of the Evening Membership Department funds at the March meeting

 

Standing Rule VII

Meetings

Section 1: The regular meetings shall be held the second Wednesday  of the month from September through June.  The election of new officers shall take place during the regular April meeting.

Standing Rule VIII

Nominations and Elections

The Nomination Committee shall prepare a slate of all officers, as specified in Standing Rule VI, Section 6 and shall present the slate at the March meeting.  All nominees must express their willingness to serve.

 

Standing Rule IX

Amendments

These Standing Rules may be amended by a two-thirds vote of members present at any business meeting.  Notice of said amendment having been given at least two weeks previously.

  

Standing Rule X

Rule of Order

Roberts “Rules of Order” shall be the Parliamentary Authority of the Department, subject to such special rules as may have been adopted.
